Meeting attendees: Jennifer Osorio, Elizabeth Sheehan, Paul Sevilla

1. SAA Student Chapter Elections. Open positions: Program Officer and Vice President.

Vice President position: Jennifer put together a list of names of students interested in running for VP and got names of students interested in running for VP during ITW. Interested students should submit a paragraph describing their goals, interests, and why they want to become VP. One week turn around time. Should the VP position be determined by election or committee decision? Need to check SAA website for any by-laws governing the appointment of VP.

Action items: Send out an announcement to students about the open positions. (Jennifer) Consult the SAA website for bylaws regarding the appointment of VP. (Liz)

2. Activities planning. Ideas for this year's activities:

  • Bake sale (fall)
  • Brown bag lunches (once a month)
  • Panel discussion
  • Archive tours
  • Résumé builder workshop/advising (winter)
  • Job fair (spring)

Anne Gilliland suggested that corporate records and records management should be highlighted by this year's activities.

Brown bag lunches:

  • When? Need to pick a day (every third Thursday of every month?)
  • Possible speakers: MLIS Alumni at Toyota, Sue Kim, Charlotte Brown (Univ. Archivist).

Résumé builder:

  • When? Fall quarter.
  • Bring in two to three career advisors (possibly from the Career Center) to look at students' résumés. Students can make 15 minute appointments to have their résumés examined by the advisors.

Job fair:

  • When? Spring quarter.
  • Not just archival jobs but library as well.
  • Collaboration with other student chapters (i.e. ALA, SLA, AMIA)
  • Sponsorship from UCLA Career Center and companies like Raytheon.
  • Possible site for the fair: Anderson School of Business.

Archive tours

  • When? Once every quarter
  • Focus on locations on campus or near UCLA for now.
  • Possible sites to visit on campus: UCLA Special Collections, Center for Primary Research Training, SRLF, Ethnomusicology Library, Fowler Museum, Arts Library, University Archives, Biomedical Library.
  • Possible off-site locations to visit: The Huntington, Getty Museum, 20th Century Fox, and the Clark Library.
  • Need to keep website updated for events happening at museums, libraries, and archival institutions (i.e. exhibitions, lectures, tours, etc.).

Action items:

  • Bring cash box for bake sale on Thursday. (Liz)
  • Send out flyers and e-mail announcement for next week's general meeting. (Liz).
  • Talk to Anne Gilliland about job fair. (Jennifer).
  • Send a copy of meeting minutes to AMIA. (Paul).

The Meeting Agenda: Change of Signatories.

The virtual meeting was called to order on Friday, June 10, 2005 at 12 noon via evite.com by co-president, Sibyl Roud. Sibyl states: "The officers need to have a meeting to approve the changing of the signatories on the SAA Credit Union account so we are meeting virtually."

Sibyl continues: "If someone would like to entertain the following motion: 'I, (name) move to, effectively immediately, change the signatories on the UCLA SAA Student Chapter checking and savings account at the University Credit Union to the following incoming officers: Olivian Cha (Treasurer), Elizabeth Sheehan (Co-President) and Jennifer Osorio (Co-President).'"

"We'll need a 'second' from someone and then everyone's response can be to the phrase: 'All in Favor'. If you answer 'Yes' to the question 'will you be attending' - that means you vote 'Yes.'"

"Please reply ASAP so we can get the minutes typed up and sent to the Credit Union."

The following officers voted "yes": Mike Garabedian; Andrea Hull; Cheryl Clayton; Michelle Simon; Elizabeth Spatz; Elizabeth Sheehan; Mary Yogi; and Sibyl Roud.

Co-President Sibyl Roud: "I call this virtual SAA officer's meeting to order. I, Sibyl Roud move to, effectively immediately, change the signatories on the UCLA SAA Student Chapter checking and savings account at the University Credit Union to the following incoming officers: Olivian Cha (Treasurer), Elizabeth Sheehan (Co-President) and Jennifer Osorio (Co-President). And I vote YES."

February 15, 2005

Meeting was called to order in the GSEIS Commons at 12:45 PM. Officers attending were Sibyl Roud (president), Elizabeth Sheehan (vice-president), Andrea Hull (technology officer), Cheryl Clayton & Mary Yogi (co-treasurers), Shannon Supple (program officer) and Libby Spatz (secretary). Members attending were: Yolanda Alaniz, Olivian Ara, Meghan Gaynor, Amanda Neal, Jennifer Osorio, Brian Provenzale, Jennie Quiñonez, Jeff Thompson, Norma Vega.

Old Business: UCLA Alumni Forum, to be held Wednesday, Feb. 23, 2005 at GSEIS in room 111 was discussed. Sibyl made a list of students who volunteered to help set up and tear down. A request for baked goods was also made. Other refreshments will be provided by the SAA.

The upcoming conference of the Society of California Archivists, Northwest Archivists, and Society of Rocky Mountain Archivists, April 14-16, 2005 at the Alexis Park Hotel in Las Vegas was discussed. Several members expressed interest in going and will discuss details nearer the conference time.

New Business: Today's bake sale added $60.00 to the SAA treasury. All baked goods were sold out by early afternoon.

Possible tours were discussed for the remainder of the year:

  • The Center for the Study of Political Graphics, Los Angeles.
  • Museum of the American West, Autry Library, Los Angeles
  • Automobile Club of Southern California Archives, Los Angeles
  • SPARC (Social and Public Art Resources Center), Venice
  • Toyota Archives, Torrance
  • Wells Fargo Archives [post meeting information revealed the corporate archives is located in San Francisco]
  • Los Angeles City Archives [located at 555 Ramirez St, #320, Los Angeles 90012; (213) 485-3510]

Other topics discussed were:

  • Inviting Judy Baca of SPARC to a brown bag lunch.
  • With the Horn Press, hosting a workshop in silk screening in preparation for the T-shirt fund raising event.
  • Hosting a resume-writing/interview workshop for archivists; members discussed contacting the following as possible workshop instructors: Archivists Associates (similar to the Library Associates temp agency, but for archivists; Libby to try to locate contact person), Society of California Archivists, Jackie Dooley, UCI University Library/Archives, Head of Special Collections
  • Diversity outreach to other campus departments, e.g. history, social sciences, etc. to engage students outside the MLIS department who might be interested in participating in archival-related events and discussions.
  • Interviews of candidates to fill the UCLA MLIS faculty position to teach archiving classes will be held Feb. 28th, March 3rd, and March 10th. Students are encouraged to attend open meetings with candidates and voice their opinions.

Next Meeting: The next meeting will be held during Spring quarter, to be determined in early April. (Quarter begins April 4, 2005.)

Janurary 25, 2005

Meeting was called to order in room 121 at 12:35 PM. Officers attending were Sibyl Roud & Gigi D'Amore (co-presidents), Elizabeth Sheehan (vice-president), Andrea Hull (technology officer), Cheryl Clayton & Mary Yogi (co-treasurers), Shannon Supple (program officer) and Libby Spatz (secretary).

Old Business:

  • Election results for Vice-President Ð Elizabeth Sheehan was uncontested winner. Introductions were made.
  • Details of the alumni forum panel discussion to be held Feb. 23, 2005 were discussed. It was suggested each speaker talk about 10 minutes, followed by a Q&A period. Refreshments will be served from 6:15 to 6:30, and again at a mid-time break, if appropriate. Mary Yogi is arranging free parking for the speakers.

New Business:

  • Sibyl suggested if officers would like to be more involved with chapter activities that they feel free to suggest and develop ideas.
  • A member list needs to be assembled and given to Michelle Simon, who will create an email list group.
  • Kathi Neal from UC San Diego will be the guest at a brown bag lunch, hosted by the SAA, on Wed., Feb. 9th, 2005 at 12:30 in the GSEIS Commons. Topic will be, "What does SAA actually do?"
  • The upcoming conference of the Society of California Archivists, Northwest Archivists, and Society of Rocky Mountain Archivists, April 14-16, 2005 at the Alexis Park Hotel in Las Vegas was discussed, including the possibility of funding a UCLA SAA Student Chapter dinner or social hour at the conference. Several members expressed interest in going and will discuss details nearer the conference time.
  • Sibyl discussed possibly having an essay contest on an archives-related topic, with the awardee to be given $100 and have the essay published in the new GSEIS journal publication InterActions.
  • SAA winter quarter bake sale will be held Tuesday, Feb. 15th, 2005.
  • SAA winter quarter meeting will also be held Tuesday, Feb. 15th, 2005, at 12:45 in the commons.
  • Gigi mentioned that the Motion Picture Academy's Margaret Herrick Library is not open for tours between the Golden Globes and the Academy Awards due to scheduling conflicts. Plans for a tour will be revisited during Spring quarter.
  • Mary discussed the chapter's involvement with the joint fund-raising T-shirt project with the Horn Press, SLA, and ALA groups. A design contest will be held, and members will volunteer to help create the T-shirts with equipment being purchased by the Horn Press.
