November 18, 2004

Meeting Called to Order: Meeting was called to order in the GSEIS Commons at 12:30 PM. Officers attending were Sybil Roud & Gigi D'Amore (co-presidents), Mary Yogi & Cheryl Clayton (co-treasurers), Libby Spatz & Michelle Simon, (co-secretaries), and Shannon Supple (co-program chair.)

Old Business: Fall quarter accomplishments comprised of: arranging a tour of Reagan Presidential Library; holding a bake sale fund raising event, holding a general chapter meeting and an officers meeting.

New Business: Sybil suggested our web site be redesigned and updated for the new school year. Mike Garabedian has offered to help technology officer, Andrea Hull, if needed. Each officer should write up a brief description of his/her office and email these to Sybil for verification/editing by the end of the month. The descriptions will then be posted on the web site. Currently there is no vice president. The group discussed holding a special election next quarter for vice president, enlisting a first-year student to preside through to the beginning of the next fall term. The possibility of changing officers elections from fall to spring quarter was discussed and will be further discussed and proposed at the next meeting. If adopted, the constitution will have to be revised to reflect the change.

Treasurers Report: The fall bake sale raised $35.83, with four bakers participating. Mary Yogi will deposit money in chapter bank account. Cheryl Clayton and Mary Yogi, Co-Treasurers, announced that SAA has $654.67 in the bank.

Changing Bank Account Signatures: SAA needs to change the signatories on the checking and savings account with the University Credit Union. Motion/second/carried to designate Cheryl Clayton, Mary Yogi and Sibyl Roud signatories on the UCLA SAA Student Chapter account at the University Credit Union, Account number 114455 (Share 1: Saving and Share 9: Checking).. Mary Yogi will handle getting a letter to the bank signed by Johnna Weaver and arranging a time for Mary, Cheryl and Sibyl to go to the University Credit Union to sign a new signatory card for the account.

Future projects to fund/arrange were discussed:

  • Guest speaker for winter quarter '05, to be scheduled on the same day as the American Archives class, Wednesdays (9-12:30). Possibly have a panel or brown bag lunch with Paul Wormser (NARA, Laguna Niguel) or John Vallier (UCLA Ethnomusicology Archive)
  • Field trip to UCLA resource such as the Fowler Museum.
  • Tour Margaret Herrick Library, Academy of Motion Picture Arts and Sciences; Gigi will contact Barbara Hall and inquire about scheduling tour during 3rd week of winter quarter, possibly on a Wednesday. Target dates are Jan 19th or Feb. 2nd, 2005. Event may be co-sponsored with student SLA chapter.
  • Guest panel comprised of UCLA MLIS graduates to speak about their professional paths since graduation and their current positions. Specific panel topic and title to be determined. Target dates for panel were Wed/Thur, February 16/17, or February 23/24th, 2005. Candidates suggested for the panel were: Heather Cleary (head of Visual Resource Center, Otis College of Art & Design), Bob Durig (Japanese American National Museum, Los Angeles), Vickie McCargar (Senior Editor for Library Projects, Los Angeles Times);, Mahnaz Ghaznavi (Institutional Archives, Getty Research Institute), & Snowden Becker (Public Access Coordinator, Academy Film Archive.)

Next Meeting: The next general SAA student chapter meeting will be held the 1st week of winter quarter, on Wednesday, January 12th, 2005 in the GSEIS Commons.

October 13, 2004

Meeting Called to Order: Meeting was called to order in the GSEIS Commons at 2:00 PM. Officers attending were Sybil Roud & Gigi D'Amore (co-vice presidents), Andrea Hull (technology officer), and Libby Spatz (secretary).

Introductions: Introductions of officers and attendees were made.

New Business: A student posed a question asking about the difference between special libraries and archives. Sybil and Gigi offered explanations, specifying the unique holdings of archives with primarily unpublished materials, organized by original provenance.

Possible tours were discussed for the upcoming year.

  • KCRW Radio Station in Santa Monica, scheduled for Thursday, Oct. 28th at 10:00 am.
  • Reagan Library, Simi Valley
  • Toyota Archives, Torrance
  • Bonhams & Butterfields, Los Angeles
  • Automobile Association of America (AAA) Archives, Los Angeles

Other topics discussed were:

  • Society of California Archivists (SCA) is participating in a joint meeting with the Conference of Inter-Mountain Archivists (CIMA), the Northwest Archivists (NWA), and the Society of Rocky Mountain Archivists (SRMA) on April 14-16, 2005 at the Alexis Hotel in Las Vegas.   • Holding an EAD workshop, possibly given by a member of the Online Archive of California, working through the creation and application of an EAD document.

Elections of Officers for 2004-2005: The nomination period is currently open for all officers positions (President, Vice President, Treasurer, Secretary, Program Officer, and Technology Officer), and extends to October 20th. All interested candidates should email their statements of intent to run for the specific officer's position to Kimberly Wilcox (kiwilcox@ucla.edu) and include a brief description of why they are interested in the position.

Fund Raising: Bake sales will be held once per quarter, with the Fall 2004 bake sale scheduled for Monday, Nov. 8th. Gigi described how a garage sale may be another fund raising event to consider. Students would bring in various items to be sold for $1.00 each.

Andrea Hull suggested hosting a panel discussion comprised of former students who speak about their job-hunting experiences. Andrea Hull and Libby Spatz volunteered to work on contacting possible panelists and pursue organizing the panel.

Gigi D'Amore suggested hosting a casual social gathering of local professional archivists and SAA members, possibly in the winter '05 quarter.

  • Call for papers to be presented at the SAA annual conference, to be held in Boston this August
  • Proposals are due February 4

Calendar discussion:

  • Events will also be posted on the main GSEIS web calendar
  • Bake sale, Wednesday February 11: Valentine's Day-themed; volunteer bakers and sellers are needed
  • Tour of the Japanese American National Museum, Friday, February 20 at 2 PM: there is room for up to 15 people; carpools from UCLA will be arranged; admission will be $2 with a student ID
  • Center for Information as Evidence opening, Friday, February 27 at 6 PM: Sue McKemmish, an Australian archivist, will speak
  • Brown Bag discussion with Kathryn Neal, SDSU archivist and SAA liaison, Friday, March 5 at 12:30 PM: discussion topics and questions are needed before the discussion.

  • Tour of the print archive at UCLA
  • Tour of the Oscar Wilde manuscript collection at the Huntington Library; possibly coordinated with the Horn Press?

  • Visit to the LA Natural History Museum to discuss their Online Archive of California project
  • Discussion of EAD, online archives, XML/SGML, etc., with a professional archivist
  • Have Kat Svetlik present her paper from the conference in India and talk about some of the issues that were discussed at that conference
