October 18, 1999

Present: Ciaran Trace, Brad Kottke, Mike Lauruhn, John Fowler, Rose Roberto, Olivia Solis, Donnae Tidwell, Marisol Ramos, Andra Darlington, Francesca Marini, Jennie Seo

  1. The position for Vice-President is currently vacant and elections will be held in this regard. The following is a description for the position:
     
    "The vice-president will assume the assume the duties of the Presdent in the latter's absence, and, until an election can be scheduled, assume the office of the President should it become vacant. The vice-president will direct public relations within the university community, and communication within the Chapter."
     
    More details on this matter will be discussed during the next meeting.
  2. Aileen Tu has finished the website for the student chapter. As the webmaster for the new year, Marisol Ramos will be in charge of updating and maintaining the new and improved website.
  3. The officers are currently working on several field trip possibilities for the school year: Japanese American National Museum, University Archives (UCLA), Hollywood Vaults and the Reagan Library. Also, a trip to SRLF is being planned as a co-sponsored activity with the ALA student chapter. Other suggestions for possible site visits are welcome.
  4. An EAD workshop is being planned for a weekend in February. More details to come.
  5. The officers are working on putting together a panel of student interns who can share their experiences and expertise with those who are or will be looking for internships in the future. If you have been through the process of looking, interviewing and surviving an internship and would be interested in participating in the panel, please contact one of the officers.
  6. SAA student chapter meetings for the Fall quarter will be on the following dates: November 1, 15, and 29. They will all be held in the Commons at noon.

May 30, 1999

Present: Ciaran Trace, Brad Kottke, Mike Lauruhn, Heather Wolfe, Mark Holmes, Alex Justice, Jennie Seo

  1. Ciaran informed the chapter on current activities:
    • Aileen Tu is working on the chapter's web site. She is currently looking for suggestions for electronic resources that might be useful for archivists. If you have any leads, please email Aileen (aileentu@ucla.edu) or any of the officers. The web site should be finished during this summer.
    • Several Australian archivists will be visiting the department during the next school year. We should take full opportunity of their presence and organize some activities, such as workshops and lectures. If there are any suggestions as to type of activity or topic, please contact one of the officers.
  2. Brad brought up the following issues:
    • He spoke about the need to increase membership. This will involve activities such as having a table set up during Orientation and recruiting in classes such as LIS 200.
    • He is also planning some field trips for next year, including one to the Society of California Archivists annual meeting, which will be held in Southern California.
    • It seems that the EAD workshop might be held sometime in November. This will give the first-year students a chance to get involved.
    • Charlotte Brown and Luke Gilliland-Swetland are interested in offering a workshop on application processes for archival positions (job/internships). This will include advice on cover letters and interviewing tips. If you're interested, please email Brad (kottke@library.ucla.edu) with days/times that you are available so that he can arrange the workshop.
  3. Jennie will be organizing a bake sale to raise funds for the student chapter. Details will be included in a later email.

February 15, 1999

Present: Ciaran Trace, Michael Knight, Brad Kokkte, Jennie Seo, Marcel Twizeyemungu

  1. Short and medium term goals for the chapter were discussed:
    • Ciaran sent an email to the Director of Education at SAA, Joan Sander, to discuss any over-arching laws and constitutions that student chapters of SAA might share and also to clarify what our relationship is with SAA.
    • Keri Botello was contacted by email regarding the incorporation of archival monographs and periodicals to the MIT Lab. These additions will be made through donation or sponsorship (or other means of fundraising).
    • Three officers must meet with Christine Guzman Sufrin at the Center for Student Programming to register the chapter.
    • Ciaran will meet with Aileen Tu to discuss updates to the chapter's website.
    • An amendment to the by-laws regarding the election of officers will be written within the week for members to vote on during the next general meeting.
    • We will need to ask Anne about Beth Yakel's upcoming visit and the possibility of sponsoring her to speak.
    • We decided to hold two meetings a month: an open executive meeting and a general meeting. All meeting minutes will made be available in the SAA Binder in the Commons.
  2. Marcel will be in charge of a project to create a database for information about our chapter. It will aid in record-keeping as well as fundraising activities.
  3. Brad shared some ideas for SAA activities:
    • Sponsoring an alumnae mixer for networking and fundraising. This activity can possibly become an annual event.
    • Brad is currently working on two guest presentation: Beth Yakel and.
    • Perhaps sponsoring one off-campus field trip per quarter. A trip to the Toyota archives, a film/television archives, and/or the Reagan library is being considered for Spring quarter.
    • The possibility of holding regular social events, such as happy hour.
    • Creating more publicity and doing more outreach for new students during orientation.
  4. Michael and Brad suggested that the chapter sponsor an EAD workshop.
  5. Next general meeting will be Wednesday, March 3rd, 11-noon. We will be discussing the by-law vote, budget matters, asking for suggestions for future activities as well as discussing anything else that the members bring up.

February 12, 1999

Present: Ciaran Trace, Michael F. Knight, Brad Kottke, Marcel Twizeyemungu, Mark Holmes, John Fowler, Kalpana Shankar, Jennie Seo

  1. Introductions were made by everyone
  2. Officers briefly stated their responsibilities
    • Ciaran: coordinator, student liason with SAA
    • Michael: keep financial, coordinate fundraising activity
    • Marcel: organize meetings, community (on and off campus) outreach
    • Brad: coordinate chapter activities
    • Jennie: keep records of chapter activity, write annual report for SAA
  3. Items with immediate concern
    1. addressing the by-laws concerning our mid-year elections as well as deciding when the next elections will be held
    2. need to have 3 officers meet with Christine Guzman Sufrin at student planning
    3. obtaining past financial records from Su-Kim
    4. coordinating first SAA activity
    5. updating chapter's website
  4. Suggestions for future plans
    • Presentation by Beth Yaekel (sp?) during March 8-12
    • Field trip to Toyota archives
    • Field trip to a movie studio archives
    • EAD course offering
    • Reaching out to alumnae for sponsorhip and involvement in chapter
    • Lecture series
    • Workshops and dinners
    • Sponsoring a student poster session as SAA
    • raising funds to send a representative from our chapter

January 27th, 1999

A meeting to discuss the relaunch of the SAA student chapter was held in the Student Commons, Wednesday, 27 January 1999.

Present at the meeting were: Dr. Anne Gilliland-Swetland, Ciaran Trace, Francesca Marini, Michael Knight, Jennie Seo, Olivia Solis, Marcel Twizeyemungu, Heather Wolfe, Mike Lauruhn, Brad Kottke, Mark W. Holmes, Clay Stalls, John Fowler, and Aileen Tu.

At the meeting Dr. Anne Gilliland-Swetland walked people through the organizational structure and traditional activities of the student chapter. The main points were as follows:

  1. Constitution and By-laws: The Constitution and By-Laws of the Student Chapter of SAA are available on the Student Chapter web site.
  2. Membership: There must be at least five members in good standing with SAA to maintain the organization's status as a student chapter. (According to the Constitution membership is open to all students currently enrolled at UCLA, with an interest in the archival profession).
  3. Relationship with SAA: The relationship of the student chapter to SAA was discussed. It was proposed that Susan Fox (Executive Director of SAA) be invited to meet the Student Chapter.
  4. Elections/Officers: A sign up sheet of those interested in running for President, Secretary, Treasurer, and Program Officer of the Student Chapter was circulated. (According to the Constitution and By-Laws there are in fact 5 positions. Anyone interested in running for Vice-President or any of the other positions should contact Clay Stalls by the end of the week). Clay Stalls offered to act as a teller for the election. Aileen Tu offered to update the Student Chapter web site.
  5. Activities: Dr. Gilliland-Swetland said that she had already lined up a number of speakers for this quarter and next. It was suggested that these speakers be hosted by the Student Chapter and that people from outside the department would also be invited to attend. Possible places for site visits were discussed, including local repositories and places out of state. The idea of site visits to universities with archival programs was mentioned as was the possibility of hosting specialized workshops, such as one on EAD.
