Responsible for meeting various records retention needs for the 1199SEIU Family of Funds with a focus on service and enhancements through the use of technology
Oversee and lead the operations of the Records Retention department; Keep track of various storage facilities, inventories, and payments; interact vendors and key industry organizations to enhance use of current technology, track technology trends as it relates to paper as well as electronic media, and assure Fund records are retrievable and safeguarded
Develop strategic plans to improve or expand upon current operations and workflows, implement and update the Records Retention and Destruction Policy in accordance with the various laws and regulations that govern the storage of paper and electronic records (ERISA, DOL, IRS, HIPAA, SOX, FACTA, etc)
Develop, interpret, and implement best practices to balance information and risk management; work closely with Director to ensure department goals are achieved; collaborate with managers in other areas to accomplish Fund records and information objectives
Manage relationships with vendors and serve as the Fundís liaison to the Vitech project in regard to storage and scanning
Manage annual records purge at the off-site facilities; maintain confidentiality and properly dispose of documentation
Performs additional projects and responsibilities as assigned
Must meet performance standards including attendance and punctuality


Bachelorís degree in facilities management or related field
Minimum of five (5) years relevant experience in records management or records retention; to include (2) years supervisory experience of exempt and non-exempt personnel
Experience in records management of health and pension industries
Knowledge of records management laws and regulations (ERISA, DOL, IRS, HIPAA, SOX, or FACTA, etc.)
Good knowledge of Document Management Software, multimedia solutions, and MS Office
Certification in Records Management (CRM); Enterprise Content Management (ECM); Electronic Records Management (ERM), or Certified Archivist highly preferred
Strong leadership, interpersonal, organizational, planning, and decision making skills required
Excellent oral and written communication skills
Ability to manage effectively, coordinate resources, and work well independently
Good analytical skills with ability to provide solutions and develop alternatives
