The Special Collections Department is responsible for the conservation, organization and promotion of the library’s unique archives and museum collections.

Manages the History Center and Museum staff to ensure efficient operations, proper care of collections and quality customer service.
Directs and coordinates the activities of the Special Collections Department by formulating goals, plans, procedures, priorities, and schedules. Educates and develops staff in concepts including, but not limited to, needs assessment, customer service, resource management, cost/benefit analysis, and return on investment. Performs Special Collections functions including reference and readers’ advisory services as required.

Selects, trains/cross trains, supervises, schedules and evaluates Special Collections services staff.
Supervises and guides the selection of new acquisitions for the Special Collections Department.
Carefully monitors and maintains records on environmental conditions to ensure the long term conservation of collections. Evaluates departmental procedures on an on-going basis to ensure that staff and facilities are in alignment with best professional conservation practices.

Plans and implements public programming activities such as lectures, special displays, exhibit openings, online exhibits, film series, guided tours, book discussion series and related educational programs.

Actively promotes and manages the migration of departmental holdings and indexes to digital format to facilitate accessibility of historical records for library patrons.
Demonstrates an on-going commitment to improvements in productivity and streamlined work processes. Analyzes operating statistics, prepares reports and correspondence related to Special Collections operations.

Ensures that Special Collections Department invoices, time cards, reports and administrative paperwork are accurate and submitted in a timely manner.
Keeps Executive Director apprised of developments related to departmental activities, services, programming, needs and problems.
Prepares budget requests and carefully monitors expenditures to ensure compliance with established policies/guidelines and to ensure that expenditures are within budget.
Promptly responds to inquiries and suggestions from the public, staff and Executive Director and works to expeditiously resolve problems and customer complaints.
Establishes and maintains partnerships with community and state organizations to promote awareness of the library’s collections and services. Actively seeks ways to collaborate with other departments within the library on various projects and initiatives.
Prepares press releases, brochures, posters, grant proposals, exhibit program announcements, website content, and presentations to civic and community groups to heighten awareness of the library’s unique collections.
Ensures that Special Collections equipment is in working order, properly maintained and, where appropriate, covered by maintenance contracts.

Keeps abreast of trends and developments related to the best practices, new technologies and management of Special Collections Department collections and services.
Analyzes departmental policies and procedures and recommends revisions. Ensures departmental compliance with library policies.
Performs special projects as assigned by Executive Director.

Qualifications: Masters of Library Science from an ALA accredited university with a specialization in archives and record management and at least four years of relevant archival supervisory/management experience. Additional M.A. in history and ACA Certification desirable. Computer literacy and working knowledge of Cuadra Star, Eloquent or other archives management software , Microsoft Office software and electronic databases. Demonstrated ability to analyze managerial problems, make recommendations, and take appropriate action to resolve issues. Excellent oral and written communication skills are a must. Other combinations of education and experience that meet the minimum qualifications may be considered.
