Officer’s Meeting

Student Chapter of the Year Award:
• Laura has chapter communications
• Loren has meeting & event minutes
Will print and give to Greg
• Chisa has information for financial criteria
• Greg will create a draft from last year’s packet and Email it to officer’s for review
• Greg will remind Beverly Lynch that she needs to write a statement
• We hope to have the application completed by the end of April, preferably sooner

Upcoming Panel:
• Thursday April 24, 1-3pm, room 121
• Confirmed panelists to date:

• Ajit will moderate the panel
• Ajit will talk to Dr. Chu regarding PRAXIS seminar conflict
• Greg will pass on Mia Zamorra’s contact information and Ajit will contact her
• Laura will create and post flyers and send announcements to the Bulletin
• Officers will bring treats & beverages on the day of the panel
• Greg will bring coffee materials, cups, napkins, etc.

Spring Elections:
• Positions up for election in the Spring are President, Treasurer, and Publicity Officer
• Positions up for election in the Fall are Vice President, Secretary, and Web Designer
• Officers discussed logistics of the Spring election:
Nominations are due by May 16th
• We will put out an announcement on Friday May 9th asking for nominations
We will put paper ballots in the mailboxes of Student Chapter Members on May 25th
• Students who believe they are members but do not receive a ballot can contact an officer (Greg or Kelly?) to confirm membership & receive a ballot
Ballots are due by 9am on June 2nd
• We will put a sealed ballot box in the commons on top of the mailboxes
Beverly Lynch will count the ballots
An officer will confirm the count
Results will be announced to the membership by Friday June 6th
• Officers discussed pros & cons of which quarter to hold elections for which positions

Chapter Meeting:
• Thursday May 8th 12:30pm
Loren will request a room
• Proposed Agenda:
Ratify Bylaws
Discuss upcoming elections
• Publicity for the meeting will go out Thursday May 1

Officer’s Handbook:
• Each officer will write a description of their position (in synch with description in Bylaws)
• Will provide specific guidance for future officers
• The handbook will also include administrative information, such as who to contact for room reservations, catering information, bank accounts, publicity channels, and recurring annual events (ALA student ambassador, student chapter of the year, etc)
• All materials due to Loren by May 30th
Loren will compile and send out a draft to officers for review

Bylaws:
• Need to have them ready for review & ratification for next chapter meeting (May 8th)
• Loren will send out a draft & past minutes of discussion on Friday April 18th
• Feedback due to Loren by Friday April 25th
• Loren will compile and send out a draft for review on April 28th
